Terms of Service

1. Agreement to Terms

By signing up for and using LedgerMind, you agree to these Terms of Service. If you do not agree to all of these terms, please do not use the service.

2. Service Description

LedgerMind provides AI-powered receipt scanning, automated expense categorization, mileage tracking, and financial dashboard services. Our service is designed to log and manage your personal or business financial data effectively.

3. Account & Billing

  • You must provide accurate and verifiable account information.
  • You are solely responsible for keeping your account authentication secure.
  • Billing for mobile subscriptions is processed through the Apple App Store or Google Play Store.
  • The free Starter plan includes limited monthly scans and export allowances.
  • Paid plans include defined scan quotas, history limits, and feature access. Additional scan packs may be offered as one-time purchases.
  • Yearly plans are billed upfront for the full year. Subscription taxes, pricing, and refund handling may vary by region and app store policy.
  • You may cancel recurring subscriptions through your device's subscription settings.

4. Acceptable Use

When utilizing the LedgerMind platform, you may not:

  • Upload illegal, fraudulent, or manipulated receipts/invoices intended for tax evasion.
  • Attempt to reverse engineer, hack, or abuse the AI scanning APIs limitations.
  • Use the application to store highly sensitive non-financial PII unnecessarily.
  • Resell or redistribute access to your account/seats without express enterprise licensing.

5. Data Ownership & Accuracy

Your financial data and scanned receipts belong completely to you. We provide export functions (CSV, PDF, XLSX) so you are never locked in.

AI extraction is probabilistic and should be reviewed before you rely on it for bookkeeping, reimbursement requests, accounting, or tax filings. You remain responsible for verifying the accuracy of your final records.

6. Service Availability

We aim to keep LedgerMind available and reliable, but we do not guarantee uninterrupted access. The service may occasionally be unavailable due to maintenance, third-party outages, or events outside our control.

7. Limitation of Liability

Our maximum liability for any software issue, data loss incident, or service failure is strictly limited to the total amount you have paid to LedgerMind in the preceding 12 calendar months.

8. Termination

We reserve the right to suspend or instantly terminate accounts that violate our Acceptable Use policy or repeatedly attempt fraudulent scanning. Upon mutual termination or cancellation, we will schedule your data for secure deletion as per our Privacy Policy.

9. Changes to Terms

We may update these terms occasionally. Material changes taking root in pricing or legal obligations will be mailed to account holders 30 days in advance. Continued use after changes constitutes acceptance.
